Technical Information for Presenters
Oral and Poster Presentations
ORAL PRESENTATIONS
Duration of oral presentations in concurrent sessions (excluding Symposiums): Presenters will have 10-12 minutes for presentation plus 3-5 minutes for discussion (Total 15 minutes).
Data presentation:
If using a PowerPoint presentation (or any other format, such as PDF), you need to bring it on a “disk on key” Memory stick (using the USB port in the computer), a CD or a DVD and load it on one of the conference’ computers in the Speakers’ Ready Room, at least 1 hour before the start of the session.
You may supply your own laptop computer as a back-up. In such a case please come to check it in the session hall where your lecture is taking place during a break prior to your session, at least 30 minutes before the start of the session.
If combining video films with PowerPoint, please make sure to check it in the session hall where your lecture is taking place during a break prior to your session, at least 30 minutes before the start of the session - even after checking it in the Speakers’ Ready Room.
Please note that the conference computers in the session halls are being supplied with Windows 7 and Office 2010.
Important notes for Macintosh users
In order to use MAC presentations on a PC compatible computer please note that you need to prepare it according to the instructions below, before bringing it to the Speakers' Ready Room:
- Use a common font, such as Arial, Times New Roman, Verdana etc. (special fonts might be changed to a default font on a PowerPoint based PC).
- Insert pictures as JPG files (and not TIF, PNG or PICT - these images will not be visible on a PowerPoint based PC ).
- Use a common movie format, such as AVI, MPG and WMV (MOV files from QuickTime will not be visible on a PowerPoint based PC).
You may use your own Macintosh laptop computer. In such a case please confirm that it has a VGA socket for external signal and come to check it first in the Speakers’ Ready Room as soon as you arrive and later on in the session hall where your lecture is taking place during the coffee or lunch break prior to your session, at least 30 minutes before the start of the session.
Please note that VHS Video projection, 35 mm’ slide projection and Overhead projection (projection of transparencies) will not be available.
POSTER PREPARATION GUIDELINES
Poster Print-outs: It is recommended that poster presenters attach to their poster board a transparent envelope with print-outs to be taken by interested viewers.
Dimensions of poster: up to 90cm (36 inch) wide by 120cm (48 inch) high.
The heading should include: Title of the paper, authors, institutions and location of institutions. Letters should be at least 35 mm high.
Lettering for text and illustrations must be at least 10 mm high. Letters should be bold enough to enable viewers to read the poster from a distance of 2 meters (6 feet).
Tacks and technical equipment will be available for the hanging of posters.
Please refer to the Final Program for the poster board number assigned to you and use the board with the same number.
Set up and removal of posters:
Tuesday, 5 June: 07:45 – 08:30.
Wednesday & Thursday, 6-7 June: 08:00 – 08:45
Posters must be removed at the end of each day, after the last session.
